1. Your data in Bot Yourself

Bot Yourself keeps your information in your private context: your conversations, the preferences and facts you ask it to remember, and data from the apps you connect. You can see and edit what it remembers about you.

Bot Yourself also supports shared spaces, such as a household or a trip. Information enters a shared space only when you choose to share it there, and then it is visible to that space's members. Your private context, and data from your connected accounts, are not shared with other members unless you share a specific item.

Your data is encrypted in transit and at rest. Sensitive data, including connected-account content and access tokens, is also protected with per-account encryption keys held in a managed key service. Initialyze staff have no standing access to your content, and every administrative access is logged.

2. Bot Yourself and advertising

Bot Yourself does not show ads. We do not use your Bot Yourself data, including your conversations, memory, or data from connected apps, to serve or target advertising on Bot Yourself or anywhere else. We do not sell it or share it with advertising platforms, data brokers, or information resellers.

3. Improving our AI models

Bot Yourself uses AI models to understand your requests and write responses, drafts, summaries, and suggested actions. Those models are provided by an AI model provider acting as our service provider.

  • Your content is not used to train generalized AI models. That covers your conversations, your memory, and data from connected apps.
  • Our agreements with AI model providers prohibit them from training on your data or using it for any purpose other than returning a response to Bot Yourself.
  • We will not use your content to train models unless we ask for your permission separately and you give it. Even then, Google user data is never used for generalized model training.
  • We improve Bot Yourself using aggregated or de-identified usage information, such as which features are used and where errors occur, not the content of your messages or connected accounts.

AI output can be wrong or incomplete. Review drafts and proposed actions before you approve them.

4. Connecting Bot Yourself to apps and services

Connectors let Bot Yourself work with apps you already use, such as Gmail, Google Drive, and Google Calendar. With a connector, Bot Yourself can find and summarize information there and, with your approval, take actions such as sending an email or organizing files.

  • You connect an app in Bot Yourself settings, and the app's own consent screen shows exactly what access Bot Yourself is asking for.
  • Bot Yourself asks for access in steps. Signing in does not give it your email or files; each permission is requested when you turn on the feature that uses it.
  • Bot Yourself exchanges with a connector only the data needed for the request you made.
  • You can disconnect a connector in Bot Yourself settings at any time, or revoke access from the app itself, for Google at your Google Account permissions page.

Approving actions. Bot Yourself does not send an email, share or delete a file, or accept or send an invitation without your approval. When a request would make several changes, you approve each one, and you can reject them all at once.

5. Google user data

Limited Use

Bot Yourself's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

What Bot Yourself accesses and why

  • Gmail: to find, read, and summarize your email and answer questions about it; to write drafts; and to send or organize email when you approve.
  • Google Drive, Docs, Sheets, and Slides: to find, read, and summarize your files; and to create, edit, organize, move, or share files when you approve.
  • Google Calendar: to build briefings, find availability, and create or update the events you ask for.
  • Google Contacts: to recognize the people you mention and address email and invitations correctly.
  • Basic profile (name, email address, profile picture): to identify you and show which Google account is connected.

How it is used

Bot Yourself uses Google user data only to provide and improve the features you turn on. It never uses Google user data to serve advertising, never sells it or transfers it to advertising platforms, data brokers, or information resellers, never uses it to train generalized AI or machine learning models, and never uses it for credit or lending decisions.

To answer a request, Bot Yourself sends only the relevant portion of your Google data to an AI model provider acting as our service provider, which is contractually prohibited from training on it or using it for any other purpose. Summaries, indexes, and similar information derived from your Google data are stored only for your account and are deleted with it.

Sharing, security, and access

Google user data is shared only with service providers that host, process, and deliver Bot Yourself for us (cloud hosting, AI model processing, and message delivery), under contracts that limit their use to that purpose; at your direction, such as an email you approve or an answer delivered to the channel you asked in; to comply with law or protect against fraud and security threats; or in a business transfer, with your consent where required. Your Google credentials are never shared with anyone.

It is stored in the United States, encrypted in transit and at rest, with access tokens and content protected by per-account encryption keys. Our staff do not read your Google user data unless you give explicit permission for specific data, it is necessary for security or to comply with law, or it has been aggregated and anonymized for internal operations.

Retention and deletion

Bot Yourself keeps Google user data only while your account is connected. When you disconnect, access stops immediately and the data is deleted within 30 days, as described in Section 7. We will ask for your consent before using Google user data in any way not described here.

6. SMS and mobile messaging

This policy applies to Bot Yourself, including SMS communications sent by Initialyze Inc. in connection with the Bot Yourself service.

Bot Yourself may use SMS and other mobile messaging features for transactional, account-related, assistant, and functional service communications. The Bot Yourself SMS program is not used for marketing or promotional messages. Initialyze does not send marketing or promotional messages through the Bot Yourself SMS program, and does not send SMS on behalf of any third party. SMS messages are sent by Initialyze Inc. from the Bot Yourself service number.

If you provide your mobile phone number and consent to receive SMS messages from Bot Yourself, messages may include account verification codes, AI assistant responses, reminders, task and activity updates, confirmations, account notifications, alerts, and other informational messages related to Bot Yourself features you use or enable.

Message frequency varies. Message and data rates may apply. You may opt out of SMS messages at any time by replying STOP. Reply HELP for assistance, or contact us at privacy@botyourself.ai. If you opt out, Bot Yourself features that depend on SMS may no longer be available to you.

Your mobile number and SMS consent

We do not share, sell, rent, or provide your mobile phone number, SMS opt-in information, or messaging consent data to third parties or affiliates for marketing or promotional purposes.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of sharing described elsewhere in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Mobile phone numbers, SMS opt-in information, and messaging consent are never used for marketing or promotional communications, and are never shared with third parties or affiliates for any purpose other than delivering the functional messages you requested.

We may disclose mobile information to service providers that help us deliver messaging, authentication, security, hosting, support, or related services, but only as necessary for those providers to perform services on our behalf. They are not authorized to use your mobile information or messaging consent for their own marketing or promotional purposes.

Other messaging channels

You can also talk to Bot Yourself through other messaging apps you choose. Messages you send, and the replies Bot Yourself sends, pass through the provider of the channel you choose, and that provider's own terms and privacy policy also apply.

7. Deleting Bot Yourself data

  • Memory. You can review and delete what Bot Yourself remembers about you at any time, and you can ask it to forget something.
  • Disconnecting a connector. When you disconnect a Google account in Bot Yourself settings, or revoke access from your Google Account, Bot Yourself stops accessing it immediately, revokes and deletes the access tokens, and deletes the data it received from that account, including summaries, indexes, and embeddings derived from it, within 30 days.
  • Deleting your account. When you delete your Bot Yourself account, we delete your personal information, including all Google user data, within 30 days.
  • Backups. Deleted data may remain in encrypted backups for up to 35 more days until those backups expire, and is not used for anything during that time.
  • What stays. Content you deliberately saved elsewhere in Bot Yourself, such as a note or a plan you shared into a shared space, is your content and remains until you or the space delete it. We keep a minimal record that a connection existed and when it was revoked, without any message or file content, for security and audit purposes, and we keep SMS consent and opt-out records as the law requires.

You can also ask us to delete your data by emailing privacy@botyourself.ai.

  • Your content: messages, prompts, tasks, reminders, plans, notes, files, and feedback you give Bot Yourself.

10. How we share information

We do not sell personal information and do not share it for cross-context behavioral advertising. We may share personal information when reasonably necessary with:

  • service providers that help us operate Bot Yourself, such as cloud hosting, AI model processing, authentication, SMS delivery, communications, analytics, security, payment, and support providers, under contracts that limit their use of the information;

11. Cookies and analytics

We may use cookies and similar technologies to operate and secure our websites and applications, remember preferences, understand usage, measure performance, and support analytics. You can generally control cookies through your browser settings. Disabling certain cookies may affect how some features work. We do not use Google user data or connected-app content for analytics profiling or advertising.

12. Data security and retention

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, use, alteration, or disclosure, including encryption in transit and at rest, per-account encryption for sensitive data, least-privilege access, and audit logging. No system can guarantee absolute security. If a security incident affects your personal information, we will notify you as required by law.

We keep personal information only for as long as reasonably necessary to provide Bot Yourself, meet legitimate business needs, comply with legal obligations, resolve disputes, maintain consent and opt-out records, and enforce our agreements. When information is no longer needed, we may delete or anonymize it, subject to applicable legal and operational requirements. Section 7 sets out specific deletion timelines, including for Google user data.
